COPYING AND RENAMING FILES
- OPEN libmusic
- GO TO Batch_1 or Batch_2
- COPY the FI# folder of choice
- GO TO libdlc (twizzler) > DZA
- PASTE folder into DZA folder
- DELETE the derivative WAVE files
- RENAME the wave file(s) deleting the “_Master”
MAKING EXCEL SHEET WITH INFORMATION FOR METS
- GO TO libdlc > METSresources
- OPEN METSinfo.xls
- ENTER file names in this order:
- WAVE file(s)
- WORD document(s)
- The “Interviewed” name can be taken from the original folder name as you are renaming it
USING THE UNIX ENVIRONMENT TO GET FILE INFORMATION
Panasonic PC INSTRUCTIONS
A. To get file size and date created
- GO TO Start > Run
- TYPE cmd
- PRESS [enter]
- TYPE m:
- PRESS [enter]
- TYPE cd Batch_1\UPLOAD_FDA\FI#
(note: use the FI# that corresponds to the folder where the
files are stored. Make sure that any renaming of the files is done prior to the next steps.)
- PRESS [enter]
- TYPE dir
(the information should read as follows:
date and time created, file size, file name)
- PRESS [enter]
- Record in Excel sheet the values displayed date and time created, file size
B. To get using MD5 CHECKSUM usingWinMD5Sum
- OPEN WinMD5Sum folder
- CLICK ON WinMD5Sum program
- CLICK ON “…”
- BROWSE to file you wish to find the checksum for
- MAKE SURE THAT YOU ARE BROWSING TO THE FINAL VERSION OF THE FILE AND WILL NOT BE MAKING ANY CHANGES ONCE YOU HAVE CALCULATED THE CHECKSUM.
MAC INSTRUCTIONS to get file size, date created and MD5 checksum
- GO TO Macintosh HD>Applications > Utilities > Terminal
- TYPE cd /
- PRESS [enter]
- TYPE cd Volumes/libmusic/Batch_1/UPLOAD_FDA/FI#
(note: use the FI# that corresponds to the folder where the
files are stored. Make sure that any renaming of the files is done prior to the next steps.)
- PRESS [enter]
- TYPE ls -l
(the information should read as follows:
file size, date and time created, file name)
- PRESS [enter]
- TYPE md5 [FI#.doc or FI#.wav]
(i.e.. md5 FI06150101.doc
note: the WAVE file will take a very long time to calculate)
- COPY and paste information into Excel spreadsheet
- Make sure you enter the size, date, and MD5 checksum for both the .doc and .wav files
- Check all info
- GO TO File>”New Shell”
- You may keep the other window open and start a new FI# while the MD5 checksum is processing the .wav file
USING WORLD TIME CLOCK ON THE WEB TO CAPTURE AND CONVERT TIME STAMPS
There are two dates that need to be recorded on the Excel sheet:
- The date digital files were created by Myra “date digital file created”
- and the date that your METS metadata file is created “date METS file created”
For #1 above, you have already recorded it in Excel but it still needs to be converted to the format required by METS.
For #2 above, use current time on your watch but still needs to be converted to the format required by METS
For both situations go to “World Clock”

- GO TO “World Clock” link in top nav bar
- Then click “Fixed,Past,FutureTime”
- Here you will enter the times you got from the UNIX environment and have plugged into the Excel sheet under “date digital file created”
- Make sure that the “Location” is set to Washington DC
- CLICK “Show results in…” World Clock
- COPY the fixed time data excluding “ETD”
- PASTE time data into Excel under the “date digital file created” section replacing the time information you entered earlier
- Modify the date format by adding “:00Z” at the end for seconds (if you do not have seconds calculated)
- BE SURE TO SAVE YOUR WORK
- FOR CURRENT TIME “date METS file created”
- CLICK ON “Personal World Clock” under “The World Clock - Time Zones”
- NOW you will see the data for Miami Florida
- COPY the current time data excluding “ETD”
- PASTE current time data into Excel under the “date METS file created” section
- Modify the date format by adding “:00Z” at the end for seconds (if you do not have seconds calculated)
CREATING THE METS XML FILE
- Launch XML editor
- IF THIS IS A ONE PART INTERVIEW, USE METSTemplate1. IF IT IS A TWO PART INTERVIEW, USE METSTemplate2.
- Template files are located in libdlc/Twizzler > METSresources
- OPEN the template
- IMMEDIATELY “Save As” the FI#.xml
- There are visual aids for the METS files located on http:/digitalcollections.fiu.edu/staff/sop/METSTemplate1.jpg or METSTemplate1.jpg
- There is a word list to aid in finding the specific places to enter information. To use this list:
- copy the word from the list
- go to your METS file and press “control” + ”F” keys (this should open a “Find” window)
- paste the word in the “Find” window and press enter
- this should locate that field in the template so you will know where to enter the information
FTP to FCLA
- OPEN FTP client
- navigate to file
- CONNECT to FCLA
- MOVE the completed package folder over to FCLA side of the screen
If there are no errors, go to Excel sheet and place an “X” in the “FTP” column
CHECK INGEST STATUS
- GO TO the DCC Tracking System
- LOOK UP FI#
- CLICK “Ingest Status”
- If there are no errors, go to Excel sheet and place an “X” in the “Ingest” column
- Move folder to “DONE” in libdlc >DZA
- Routinely check “DONE” folder and burn to DVD
- Once the DVD is verified, delete the folder from libdlc/twizzler
- If a package is too big to save on a DVD, copy as much as possible, making sure to include the METS file.
